Assistant to the Clerk to the Governors

A highly professional and versatile Administrator is required to join a prestigious educational establishment in Malvern and provide confidential support to the Clerk to the Governors. This role requires an individual who can demonstrate outstanding organisational and communication skills as well as the flexibility to attend meetings when required.

The post holder will be required to work in term time only (34 weeks, approximately 10 hours per week)) plus one additional week in August. A high level of flexibility is essential as it will be necessary for The Assistant to attend meetings either early morning, daytime, evening or at weekends, as well as making regular visits to the school. Working from home will also be required in order to complete administrative and research duties.

Some key duties and responsibilities will include (but not be limited to):

  • Convening meetings of Council and its committees and maintain a meetings calendar
  • Circulating supporting papers to the relevant Team at least one week prior to the meeting
  • Attending all Council and committee meetings with the Clerk as required
  • Preparing all draft minutes for approval of the Clerk and then Chair of each meeting
  • Devising and maintaining a 'minutes timeline/planner' for all the preparatory work and the follow up work for meetings and ensuring that the timeline is adhered to in order to keep the Governing Body organised and on task
  • Ensuring minutes of meetings are formally agreed at the following meeting and that the minutes are signed by the chair of that meeting
  • Maintaining a record of signed minutes of meetings in School, and ensuring copies are sent to relevant bodies on request and are published as agreed at meetings
  • Maintaining accurate records of Council members including Directors' Interests
  • Maintaining an accurate training log

Organisation, planning and exceptional attention to detail are all essential for this role.
