Personal Assistant / Business Support Executive

This is a fantastic opportunity to play a key role within a collaborative and dynamic working environment and an opportunity to support high level executives in making a significant impact!

Our client is seeking a commercially astute and business-savvy PA to provide high-quality administrative support at Board level, as well as to two Directors. As an active member of the Business Support team, the ideal candidate will have demonstrable and versatile experience and be confident in coordinating specific projects.

Key Duties and Responsibilities:

Support to the Directors:

  • Prioritise all correspondence (email and written)
  • Handle correspondence and emails quickly and efficiently, maintaining a high standard
  • Make and receive phone calls, screen calls, inquiries, and requests, progressing them appropriately
  • Maintain the contacts database
  • Establish relationships with key contacts in external organisations
  • Perform audio typing tasks

Diary Management:

  • Manage and maintain diaries
  • Arrange meetings and keep electronic diaries up to date

Committee Responsibilities:

  • Maintain positive contact with Committee/Board members
  • Collate and distribute meeting papers, including action logs
  • Attend meetings and take minutes
  • Ensure meeting dates are incorporated into Committee/Board members' diaries without clashing with other commitments
  • Ensure papers are filed correctly for audit purposes

Project Coordination:

  • Understand project and development processes
  • Manage documents
  • Conduct research
  • Maintain minutes and action logs
  • Organise meetings
  • Produce documents

Research/Presentations:

  • Undertake basic research/data collection as requested
  • Collate and organise data, preparing basic tables and/or
  • Assist in drafting presentations

Travel Management:

  • Arrange all aspects of travel

Skills and Experience Required:

  • Exceptional administration and PA skills
  • Ability to oversee and coordinate multiple projects
  • Strong commercial awareness
  • Outstanding attention to detail and compliance awareness
  • High level of proficiency in Microsoft Office
  • Excellent written and verbal communication skills
  • Strong team player
  • Confident in conversing with external clients as well as internal colleagues
